When you contact us or book a service, we collect: your name, business name, email, phone number, the sector your business operates in, the services you are interested in, and any free-text information you share with us. When we deliver a service, we collect information about your premises, your staff, your operations, and any compliance documentation you hand to us.
We process enquiry and booking data on the basis of taking steps at your request prior to entering a contract (UK GDPR Article 6(1)(b)). We process information collected during an engagement on the basis of contract performance and legitimate interest. We process direct marketing only with a lawful basis (consent or legitimate interest where appropriate) and provide an easy unsubscribe in every message.
We use your data to respond to your enquiry, prepare and deliver your engagement, issue reports and certificates, and invoice. We may, with a lawful basis, contact you about related compliance services we believe are relevant to your business. We never sell your data.
We share data with: our email provider (Resend) for transactional and marketing email; our accountant and HMRC for tax purposes; and any subcontractor instructed to deliver part of your engagement (under written confidentiality terms). We do not share your data outside the UK or EEA without appropriate safeguards.
We retain personal data for six years after last instruction, unless a longer retention is required by law. Marketing contact data is held until you unsubscribe, after which we retain only a record of the unsubscribe to honour it.
